Job Summary

The E&GE Graduate Bid Coordinator (GBC) role is an exceptional opportunity to develop a career in bidding, as part of a dynamic and fast-moving corporate Work Winning team.

This permanent role will support E&GE’s Work Winning team to meet the increasing demand for bidding support across the business. It provides an exciting first step on the bid management career path with on-the-job training and a defined career plan.

Reporting to the E&GE Principal Bid Manager, the GBC will work collaboratively with technical and operational colleagues including business leaders and work winners. The position will support the full bidding lifecycle, including managing responses to expressions of interest (EOIs), pre-qualification questionnaires (PQQs) and proposals.

The role requires proactive engagement in the full range of bidding activities, plus support functions such as bid knowledge management; collaboration with graphic designers; and supporting the team to develop processes, tools and guides around bidding.

Job Responsibilities:

  • Assist in managing the progress of submissions (the bid programme) so they are completed on time and on budget.

  • Assist in the preparation of pre-qualification questionnaires, bids and tender submissions – this may involve using desk-top publishing software for a professional look (training will be provided)

  • Assist with the development of bid materials and processes to help make our bidding effort more client-focused and effective.

  • Work with the technical bid team to understand what the client wants and support them to use this knowledge to develop a winning bid.

  • Assist with organisation and delivery of bid strategy workshops

  • Assist in producing winning proposals, presentations and qualification materials in response to client requirements

  • Review and format all bid deliverables, providing a pre-submission control point to ensure quality and consistency of product

  • Editing and proof reading of tender and bid documentation before submission

  • Inputting data to our Client Relationship Management tool (Salesforce) (training will be provided) and coordinating regular Salesforce updates, whilst ensuring that the information is current and accurate

  • Ensuring that all bid filing (electronic and hard copy) follows a consistent and clear format

  • Document control of collateral and bid material

  • Able to work under pressure to strict deadlines, prioritising tasks

  • Able to multitask across a variety of projects and tasks, respond positively to a changeable workload and complete tasks quickly with minimal supervision

  • Behavioural Competences:

    Collaboration: Working with a variety of E&GE teams, providing bidding support. This will involve developing relationships with key stakeholders to establish trust, credibility and respect.

    Champion for improvements: Support the ongoing development and improvement of our work winning processes and tools, and champion them across E&GE. Be proactive in identifying where and how existing processes can be improved.

    Communicating effectively: Be able to communicate effectively both verbally and in writing. Demonstrate people-skills and potential for the quiet and confident authority needed in bid management. Promote a culture of sharing knowledge, insights and learning.

    Minimum Requirements

  • Educated to at least degree level in one of the following disciplines (or similar): Business Management, Environment, English, International Business, Operations Management or Project Management

  • Ability to work as part of a team, collaborating with colleagues, client and stakeholders as well as to work independently without losing focus.

  • Strong skills in Microsoft Office specifically Word, Excel, PowerPoint

  • Self-motivated and enthusiastic, hard-working, with ambition and drive

  • Strong written, numeracy and verbal communications skills – confidence to engage with a variety of people, summarise technical information effectively and demonstrate diligent research techniques

  • Strong organisational skills and attention to detail – evidence of an organised approach to task/project management

  • Ability to structure & prioritise work effectively through close cooperation with the team as a whole

  • Ability to work flexibly under pressure, responding to changing project and programme demand

  • Willingness to travel and occasionally work outside of normal office hours.

  • Some relevant work experience would be advantageous but is not a pre-requisite.
